Out of State Tax Processing Preparation & Employee Tracking
OFM has initiated a large work effort to support automated HRMS processing of out-of-state taxes and to systematically capture the locations of all employees working out of state/country. As a result of this project, we have identified two future changes within HRMS which will impact the Employee Master Data GAP 9 Interface file as it relates to the Addresses (0006) infotype data.
Beginning May 24, 2023, HRMS Addresses (0006) infotype will be enhanced with a new Addresses Subtype. Prior to this enhancement, Addresses Subtypes have been limited to two selections:
1 – Permanent Residence; and
5 – Mailing Address.
On May 24, HRMS will be updated to offer an additional Subtype selection for Addresses:
9 – Out of State Work Location.
Out of State Work Location Subtype County Code
Historically the GAP 9 Addresses County Code (COUNC) has provided a 2-digit number with a capacity for a 3-digit field. For the new Out of State Work Location Subtype (Out of State Work Location), HRMS will report a full 3-digit County code. Details of the new 3-digit codes are itemized in the HRMS 3-Digit County Codes for Addresses Infotype spreadsheet.
At this time, Address Subtype data for Permanent Residence and Mailing Address will continue reporting state of Washington County Codes as 2-digits.
Agencies who use the GAP 9 files for internal applications or shadow systems will need to prepare their systems to allow for these upcoming changes.
