OFM has noticed an increase in tickets that may be avoided by ensuring routine processes are completed. We would like to remind all agency processors of some very important items.
HRMS Processor Guide
The HRMS Processor Guide is a group of checklists that assist agency processors ensuring successful pay-period, monthly, quarterly, and year-end processing. Processors should ensure they continue to follow internal agency processes and policies as well.
MyPortal Agency Requirements
Agencies should use the Leave Requests: Check or Display Leave Requests reports to regularly monitor employee leave requests. In addition to standard monitoring, additional action is required for successful processing:
Leave Errors - MyPortal leave requests may error and require Leave Administrator intervention. Ensure your agency is monitoring any errors by using the Leave Requests: Process Posting ErrorsIt is recommended this is completed regularly and there are no errors by Day 3 of the payroll cutoff process.
Substitutions - MyPortal agencies are required to audit MyPortal Substitutions. Substitutions must be delimited when a leave approver separates or moves to a different agency. Ensure your agency is regularly auditing substitutions with the MyPortal Substitution Report.
MyPortal agencies should ensure their onboarding process includes providing the OFM MyPortal site to all MyPortal users and directing them to sign up for MyPortal communications.
Agency Professional User Requirements
It is a requirement for all HRMS professional users to register and maintain their subscription for HRMS Communications. Please ensure all professional users within your agency are signed up.
HRMS Support Hub
The HRMS Support Hub was created for HRMS users of all levels to ensure proper processing and continual education. OFM actively updates the HRMS Support Hub to provide users with current guidance and best practices for processing transactions in HRMS. Please ensure you are following user procedures and providing this valuable resource to your new HRMS processors.
